A filing service for Ontario contractors

It's never the work that costs you. It's the paperwork.

Proving what was agreed, what happened, and when — on the day somebody asks. I'm building a service that keeps the job file in order, so it's there when you need it.

— Eric, ten years running jobs in Toronto

You build it. We file it.

Dramatization. AI-generated.

The proof existed. It just wasn't where you could reach it.

An extra you ate. A backcharge out of your holdback. A change order you couldn't find when it mattered.

It was in someone's inbox, a text, the GC's system, a binder — anywhere but in front of you the day somebody said "prove it."

Nobody gets less credit and fewer hours than the person running your office.

I'm not building anything to replace the person running your office. I'm building the filing clerk they never had, so when somebody asks, they're the one holding the answer.

— Eric

What most shops do today

What they doWhere it breaks
The owner digs through their own email when the letter comesThe email they need is in someone else's inbox.
The office keeps a binder or foldersWorks until the day the office person is off, or the job gets busy.
A shared driveOnly as good as whoever saves to it, when they remember.
It lives in the GC's systemThe GC's record, not yours, on the day you disagree with the GC.
Job-management toolsThey run the job; they don't file the paper that proves it.
Hire an adminC$20–25 an hour for 4–8 hours a week — and the same binder.
Search toolsThey search what's there; they never file it.

What it should look like: getting paid for all the work you did, and winning the argument when somebody says "prove it."

How it's set up

SeamStack is a filing service inside your own Microsoft 365. Office only.

  1. One intake folder, on your own site.
  2. Four ways in: email copied from the mailboxes you pick, a watched folder, a built feed inside your own Microsoft account, and a hand drop.
  3. A SeamStack filing seat in your own Claude Team account is set to run every hour, sorting the intake folder into one folder per job — the Job record.
  4. Each hour it is set to produce the Hourly list: what came in and got filed (a count), what needs a decision, what needs to go out.
  5. Decide-and-deliver items are designed to land as tasks in your own Planner, with the document linked and a due date taken from the document itself — or a week out if it states none.

It never works out a lien, holdback or statutory date.

Anything it can't place is set to come back as one question, not a guess. A person decides.

Nothing changes in anyone's day. It's set up to copy mail the office already gets; nobody learns a new system.

What stays yours

Your files stay on your own Microsoft site, in your own account. Nothing comes to SeamStack — no copy, no keys, no passwords.

Nothing moves. Switch it off and it's as if it never ran.

If SeamStack disappears, you lose a filing clerk, not a file.

You buy your own Claude Team seats (two minimum) from Anthropic and keep your own Microsoft 365, at their list price. SeamStack never marks them up.

Two tiers. Setup free.

Filed

1,250 CAD a month

  • Filing to the Job record
  • The Hourly list
  • Filing rules kept current
  • Jobs opened and closed out
  • A 30-minute monthly review with Eric
  • Next-business-day email support
  • A filing-stopped alarm once it's proven

You buy directly: Claude Team seats (two minimum) and your own Microsoft 365

Filed + Ask

1,500 CAD a month

  • All of Filed, plus Ask
  • Ask is designed so up to five office seats can ask the file "what was agreed, and when?" and get back the document, or "not on file."

You buy directly: the same, plus the Claude seats for the office people on Ask

Both tiers

  • Setup free.
  • Month one refunded if the setup check finds every checklist line on file.
  • No minimum term.
  • 30 days' notice.
  • Billed monthly in advance.

The email door and the hourly seat are being tested.

Claude Team seats and Microsoft 365 are bought from Anthropic and Microsoft at their list price. SeamStack never marks them up.

Four commitments

  1. Cite or refuse — every answer names its source document, or the system refuses.
  2. Surface, don't decide — the system finds and flags; humans decide.
  3. Never claim completeness — outputs state what was reviewed, never "everything."
  4. Never claim legal authority — document findings only; never legal advice, never legal conclusions.

Questions owners ask

Are you replacing my office person?

No. It's the filing clerk they never had, so when somebody asks, they're the one holding the answer.

Where does my stuff go? Is it safe?

It stays on your own Microsoft site, in your own account. Nothing comes to SeamStack — no copy, no keys, no passwords.

Do I have to move my email or change systems?

Nothing moves. One rule is set to copy job mail into a folder on your site — that email door is being tested. Switch it off and it's as if it never ran.

My guys in the field won't use anything new.

They don't have to. It's office only; what already reaches the office is what's set to be filed.

Is this just ChatGPT?

No. It's a filing seat in a Claude account you own, set to run every hour on your own files — that hourly seat is being tested. It's set up to file, not to chat. Asking it questions is the second tier, Filed + Ask.

Will it work out my dates or build my claim?

No. Deadlines and claims are your lawyer's. The point is a job file you can hand your lawyer on day one instead of week three.

How do I know it's all there?

It doesn't promise it's all there. It's designed to tell you what's not on file — before the day you need it.

We use Procore.

As the GC's guest: the notices Procore emails you would file themselves; the drawing behind the link you drop into the intake folder. Your own Procore account isn't in this first version.

What about texts?

Texts aren't in this version.

We're on Gmail.

Microsoft 365 first; Google-hosted mail is being tested.

What if I want out?

Thirty days' notice, no minimum term. Your files are already on your site.

Who else is using it?

Nobody paying yet. You'd be in the first group — which is why setup is free and month one is refunded if the setup check finds every checklist line on file.

Who it's for, and who's building it

Ontario contractors, about 8 to 25 people, owner-led, with an office. Electrical, mechanical, plumbing and HVAC first; general contractors the same size equally. On Microsoft 365 for email.

Best fit: you do contract work for GCs, and you ate an extra in the last year.

I'm Eric. I ran jobs in Toronto for ten years. There was never enough time, and the paperwork got done late, lost, or not at all — and a week later it'd come back and bite me. That's what I'm working on now.
